The banquet is eleven weeks out, and right now it lives in five places at once. There is a legal pad with a rough headcount, a flyer someone designed in a hurry, a signup form in one app, a ticket tool in another, and a spreadsheet on the shared drive called FINAL_guestlist_v4.xlsx that is, of course, not final. Every one of them knows something the others do not, so the job becomes copying names from one into the next by hand and quietly hoping nobody registered twice while you were at lunch.
That evening started as a single idea in a Monday meeting. It should be able to stay in one place from there all the way to the door. That is what Gatherings is for.
Begin wherever you actually are. Some events are a half-formed thought you just want to hold somewhere while the date settles. Others are ready to announce this afternoon. You can sketch a private plan or open a public gathering page, and the choice does not box you in. The banquet's details, its cover art, the ticket tiers, the speakers, the vendors, the tasks that need doing, and the reservations as they come all sit together. Add a good photo and the page stops looking like a chore and starts to feel like a real night on the calendar.
When you are ready, you publish, and you get one link. Drop it in the bulletin, the group chat, the slides that run before service. When something is meant to stay close, a leaders' dinner, a quiet thank-you evening, you lock the page behind a password and only the people you hand it to can get in.
Then the names start arriving on their own. A guest opens the page, picks a ticket, and reserves their own seat. They land on a confirmation and get a scannable QR ticket they can keep on their phone. You decide what the tiers are, whatever this particular night asks for. Back in your reservations list you watch the count grow, and when someone calls the office on a Thursday, a little anxious, to ask whether they made it on, the answer is right in front of you.
Plans move, because they always do. An aunt is coming after all. A family swears they registered and somehow have no ticket. One RSVP needs to come off. The reservation drawer holds all of it. Resend a ticket, download its PDF, cancel a reservation, mark a payment as settled, right where you are standing. When the setup team wants the whole list for day-of coordination, export it to a CSV and hand it over.
Then it is the night itself. You are in the lobby, the line is forming, and you open check-in on your phone. Point the camera at a guest's QR ticket and they are in. If the lobby lighting has opinions about scanning, you type the name in by hand. Either way the guest gets a warm hello and the line keeps moving.
An idea becomes a public gathering page, then a QR ticket, then a guest checked in at the door.
